Facilities Assistant
Job ID R0000029265 Mexico City, Mexico City, MexicoThe ideal candidate will exhibit high standards, excellent communication skills, and have an ability to take initiative, and prioritize daily tasks. A strong ability to take charge and meet tight deadlines will ensure your success in this multi-faceted role. This position is required to provide onsite office support to the Mexico office as well as virtual support for other colleagues.This position is fully on-site.
Main activities might include:
- Organization of disposal of confidential documents (shredding, destruction…) and recycling.
- Participate in planning and coordination of corporate meetings and events.
- Participate in local meetings, follow up on action items with line manager.
- Provide reception and guest services, welcome visitors and employees.
- Process courier labels for mail and scheduled deliveries.
- Follow and enforce visitor management policies.
- Invoice and payable.
- First contact point for office support.
- Procurement: raising requisitions for new and current vendors, processing and tracking POs and invoices, maintaining payable records.
- IT: liaising with IT Manager on recycling of material, raising tickets for planned electricity interruption, collecting return material from leavers.
- HR: Coordinating availability and coordinating of HSE requirements to meet government regulations.
- Support manager as needed to maintain shared folder of documents, reports, contracts, etc.
- Good English skills.
- Since the selected employee will be working alone for most of their time, it is necessary for them to be organized, independent, and detail-oriented in order to carry out their tasks appropriately.
