Sr. Project Manager

Key Responsibilities

Project Initiation Management

  • Setting up tools according to SOPs and work instructions (Project Management Plan, SOPs list, TIME Codes list, team list, project-specific trainings)
  • Cooperating with Finance Business Partner to ensure systems are ready for use
  • Working with Project Leader/Technical Lead to provide initial schedule and resource plans
  • May own client relationships and be responsible for client communications to ensure high client satisfaction

Project Execution Management

  • Leading or participating in client kick-off meetings, establishing client expectations for project delivery and communication, and ensuring the project scope is well understood by the team
  • Reviewing project contract exhibits and ensuring relevant team members receive them
  • Managing project team setup, overseeing resource requests, reviewing team member suitability, and managing team changes throughout the project
  • Working with Project Specialists on developing project plans and tools (Roles and Responsibilities, WBS, Project Plan, Communication Plan, Risk Analysis, etc.)

Project Implementation, Control & Evaluation

  • Managing projects to completion within budget, schedule, and according to contract specifications
  • Ensuring projects progress according to quality standards, SOPs, and guidelines that fulfill local regulations
  • Ensuring accurate information in management systems and using project plans as tools to record, measure, and manage progress
  • Proactively taking action to maintain project deliverables using management information from Technical Leads, Project Specialists, and Finance Business Partners
  • Managing project budgets with Finance Business Partners, including monthly revenue recognition, forecasting, and cost management, while proactively anticipating problems and providing timely resolutions and communicating with Project Leaders or clients

Communication

  • Proactively identifying and communicating project team and client team roles and responsibilities
  • Conducting or participating in regular project team meetings to ensure objectives are met and ongoing communication of project scope, timeline, goals, and technical information
  • Conducting regular meetings with clients to keep them informed of project progress
  • Communicating team member training needs or performance concerns to Line Managers and providing input for performance reviews

Project Closure Management

  • Overseeing administrative closeout procedures according to Project Closeout Checklist
  • Ensuring project archiving and returning documentation to clients as specified in contracts
  • Conducting end-of-project meetings to document lessons learned

Required Skills & Competencies

  • Bachelor's degree in a science-related field (advanced degree desirable)
  • PMP or equivalent certification desirable
  • Proven relevant experience in healthcare, consultancy, project management, or contract research organization
  • Fluent in English and Mandarin speaking
