Administrative Assistant

We are seeking an Administrative Assistant to support senior leadership—someone who embodies our values through their professionalism, sound judgment, and partnership mindset. This role is critical to enabling leaders to focus on high‑impact priorities while maintaining the highest standards of organization, accuracy, and discretion.
This is not a traditional, task‑driven administrative role. It requires a trusted partner who is highly organized, technically capable, and energized by using tools, systems, and emerging technologies to work smarter, faster, and more effectively in a fast‑paced executive environment.
What You’ll Do:
Executive & Calendar Management
Provide full calendar management for senior leaders, including prioritization, rescheduling, and proactive decision‑making
Balance meetings, focus time, travel, and recovery time to support sustainable performance
Coordinate complex meetings with senior executives, often with short turnaround times
Presentation & Content Support
Create executive‑ready PowerPoint presentations, including:
Translating raw notes, emails, or Word documents into clear, polished decks
Supporting leadership‑facing and board‑level materials
Ensure content is accurate, well‑structured, and professionally presented, leveraging tools and templates efficiently
Travel, Expense & Systems Support
Manage domestic and international travel, including multi‑stop, complex itineraries
Use enterprise tools (e.g., Concur) to support expense reporting and reconciliation
Navigate systems such as Workday and Microsoft 365 with confidence to support reporting, coordination, and executive workflows
Technology & Efficiency Enablement
Leverage technology, automation, and AI tools to streamline administrative tasks and improve efficiency
Stay curious and open to learning new tools, platforms, and ways of working
Identify opportunities to optimize processes, improve information flow, and reduce friction for leaders
General Support
Assist with managing shared inboxes and incoming requests
Gather, verify, and organize information across teams and systems
Coordinate follow‑ups and logistics across multiple stakeholders
Required Experience & Skills:
5+ years of experience as an Administrative Assistant supporting senior leaders in a corporate environment
Advanced proficiency and comfort working across Microsoft 365 tools
Strong technical aptitude with the ability to quickly learn and adopt new systems and technologies
Proven ability to manage complex calendars and competing priorities
Exceptional attention to detail combined with speed, judgment, and independence
High level of professionalism and discretion when handling confidential information
Preferred Qualifications
Experience supporting C‑suite or enterprise‑level leaders
Exposure to board decks or executive presentations
Experience with Workday, Concur, or similar enterprise platforms
Comfort using AI‑enabled tools or automation to improve productivity
Background in fast‑paced or evolving organizational environments

Typical hours begin between 8:00–9:00 AM, with flexibility as business needs require
Occasional evening availability may be needed depending on executive schedules
